Western Family History Association Privacy Policy

The members of the Committee of Western Family History Association (hereinafter WFHA) respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how the members of the Committee look after your personal data and tell you about your privacy rights and how the law protects you.

1. The type of personal information we collect.

      We currently collect and process the following information:

  • Identity Data includes first name(s), last name, title,
  • Contact Data includes address, email address and telephone number.
  • Transaction Data includes details about payments to and from you and other details of services you have purchased from us.
  • Marketing and Communications Data includes your preferences in receiving marketing from us and your communication preferences.

2. How we get your personal information and why we have it

Members and subscribers supply us with their personal data when they register to become a member of the WFHA, sign the attendance register at meetings, subscribe to our newsletter or contact us in any other manner. We use your personal data to:

          Maintain an accurate list of members.

          Have accurate financial accounting of membership fees.

          Send family history news and distribute newsletters.

          Advise and send details of upcoming events.

          Contact you regarding our library.

          Update you on any other matters relevant to WFHA.

          Send membership renewal forms and reminders.

3. Where do we (WFHA) store personal data?

We do not have any paid staff or any form of office premises. The functions of the society are carried out by volunteer post holders who process and hold the data they use on their own computers or on paper. These computers are not networked. Each volunteer only holds the data they need for their activity.

4. Who do we share your data with?

We do not share your personal data with any other entity and do not forward your personal data to a third country (outside the EU).

5. How long do we retain your personal data?

  • We retain the data for all paid members for the period of their subscription and for two years after their subscription has lapsed.
  • We retain the data for all newsletter subscribers until they unsubscribe.

6. Your data protection rights.

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
